The Universe Group recognizes the protection of personal and specific personal information of customers, users, and our employees as a significant social responsibility in conducting matching services. The Universe Group may jointly use personal data among its group companies for the purpose of carrying out business management operations and for providing information and services to customers as well as making related decisions, as outlined below:

Personal Information

Personal information refers to information that can identify a specific individual, such as the customer’s name, age, address, phone number, email address, place of employment, etc. Additionally, even if such information alone does not identify an individual, information that can identify a person when combined with other data is also defined as personal information.

  • We will not handle personal information beyond the scope necessary to achieve the specified purpose (i.e., use beyond the intended purpose), and measures will be taken to prevent this.
  • We will implement reasonable safety measures to protect personal and specific personal information from unauthorized access, loss, destruction, alteration, and leakage through education, auditing, and continuous improvements.The protection system for personal and specific personal information will be continuously enhanced.
  • We will comply with applicable laws and regulations concerning personal and specific personal information.

    (1) The personal information we handle is collected and used within the scope necessary for the following purposes.

    (2) We handle specific personal information related to social security, taxation, and disaster prevention matters within the scope required by the relevant regulations.

    (3) Personal-related information is handled within the scope of its intended use when it is collected as personal data.

  2. Third-Party Provision of Personal and Specific Personal Information

    (1) The company will not disclose or provide personal information to third parties, except in the following cases (① through ⑫):

    • ①When the individual’s consent is obtained.
    • ②When permitted by law or regulations.
    • ③When responding to inquiries from public authorities based on legal provisions.
    • ④ When it is necessary to cooperate with national or local government agencies or parties entrusted by them in performing duties prescribed by law, and obtaining the individual’s consent could hinder the execution of such duties.
    • ⑤ When it is necessary to protect a person’s life, body, or property, and it is difficult to obtain the individual’s consent.
    • ⑥ When it is especially necessary for the improvement of public health or the promotion of the sound development of children, and it is difficult to obtain the individual’s consent.
    • ⑦ When the customer engages in activities that violate laws, harm the interests of our company or others, or violate public order and morals, or violate the terms of service of our services, and necessary measures must be taken to prevent such actions, regardless of whether or not the customer has registered or subscribed.
    • ⑧ To prevent recurrence of disputes or unpaid fees, and to protect the fairness and interests of all users, personal information such as the customer’s name, phone number, email address, transaction history, and other information designated separately by us will be provided to the association we belong to, the Dating Club Association (JDA).
    • ⑨ When personal data is provided due to business succession, such as in mergers or other circumstances.
      When personal information is provided to third parties (excluding government agencies, local public bodies, independent administrative agencies, etc., and similar organizations), or when received from third parties, a record will be created according to the Personal Information Protection Law and will be stored for the period specified by the Personal Information Protection Committee's regulations.
    • ⑩ When the personal information handler is an academic research institution, and the provision of the personal data is necessary for the publication of academic research results or teaching purposes (except when it may unjustly infringe on the individual’s rights or interests).
    • ⑪ When the personal information handler is an academic research institution, and it is necessary to provide the personal data for academic research purposes (including when part of the purpose of providing the personal data is for academic research, and excluding cases where it may unjustly infringe on the individual’s rights or interests). (This applies only when the academic research institution and the third party jointly conduct academic research.)
    • ⑫ When the third party is an academic research institution and it is necessary for the third party to handle the personal data for academic research purposes (including when part of the purpose of handling the personal data is for academic research, and excluding cases where it may unjustly infringe on the individual’s rights or interests).

    (2) We will provide specific personal information only when required by the laws governing personal identification numbers (Number Act Article 19) and will not provide such information outside the specified cases.

  3. Management of Outsourced Services

    To achieve the purposes outlined in Section 1, we may entrust personal and specific personal information to companies that have entered into contracts with us. These companies are required to handle, manage, and protect the information appropriately, and are prohibited from disclosing or using it for any purposes other than those specified.

  4. Management of Personal and Specific Personal Information

    (1) Formulation of Basic Policies
    We will formulate basic policies on the proper handling of personal data, including compliance with relevant laws and guidelines, and establishing points of contact for inquiries and complaints.

    (2) Development of Regulations for Handling Personal Data
    We will establish regulations for handling personal data, including methods for acquisition, use, storage, provision, deletion, and disposal, specifying responsible individuals and their duties at each stage.

    (3) Organizational Safety Management Measures
    We will establish a person responsible for handling personal data, clarify the employees who handle personal data and the scope of personal data they manage, and create a reporting and communication system to notify the responsible person if any violations or signs of violations of laws or handling regulations are identified.
    Regular internal audits will be conducted regarding the handling of personal data, and we will undergo external audits for the JAPHIC mark, using the guidelines regarding the Personal Information Protection Law (Personal Information Protection Commission) as the review standards.

    (4) Personnel Safety Management Measures
    We will provide regular training to employees on the matters to be aware of regarding the handling of personal data.
    Confidentiality matters regarding personal data will be specified in the employment regulations.

    (5) Physical Safety Management Measures
    We will implement access control for areas handling personal data, as well as measures to prevent unauthorized individuals from viewing personal data.
    We will also implement measures to prevent theft or loss of devices, electronic media, and documents handling personal data, and in cases where such devices or media are moved, including within the business premises, measures will be taken to ensure that personal data is not easily identifiable.

    (6) Technical Safety Management Measures
    We will implement access control to limit the scope of personnel and the personal information databases they can access.
    We will introduce systems to protect information systems handling personal data from unauthorized access or malicious software.

    (7) Although the membership page will no longer be visible after cancellation, registration information will be backed up and stored for a certain period. This is intended to prevent disadvantages to members in case of operational errors and to allow for investigations if fraudulent activities are discovered. Additionally, to prevent confusion in the operation of the service, the name, contact information, and dating history of the member will be retained even after cancellation.

    (8) In terms of personal information protection, we prohibit the operating company from hiring individuals who were previously registered as official members of our matching services (including full-time employees, contract employees, and part-time employees). The operating company will not enter into any contracts or relationships related to employment with individuals who were registered as official members in the past and will explicitly declare its commitment to the strict protection of personal information and respect for privacy.

  5. Use of Statistical Data

    We may create statistical data processed from the collected personal information in such a way that individuals cannot be identified.

    We are free to use such statistical data, as indicated above, without any restrictions.

  6. Scope of Application

    This privacy policy (Basic Policy on Personal Information Protection) applies only to this website. We are not responsible for the personal information protection practices of other websites linked from this site.

  7. Information Collection and Use of Cookies on the Website

    On the platforms we operate, we use Google Analytics for analysis to improve the website, enhance quality, and provide appropriate content. Additionally, some of the platforms we operate use cookies to collect data. It will not be used for any other purposes. The personal information will be kept for one year after the response to the disclosure request is completed and will then be destroyed.
    *The procedure for disclosure of specific personal information is the same as above, but in compliance with the Number Act, the judgment on whether disclosure is possible will be made by the specific personal information protection manager.
